General Booking Conditions
Deposits paid, are non-refundable
and non-transferable except where arrangements are cancelled by
Reynolds Diplomat Coaches (RDC)
Where customers request changes to seating arrangements or pick up
points there will be a service charge of £5.00 per person for these
changes.
Unless otherwise stated admission fees to houses, gardens and other
attractions is payable on entrance.
All children must be accompanied by a responsible adult.
When members of the same party request to join the coach at
different pickup points RDC cannot guarantee that these passengers
will be carried on the same coach.
When particular seats on the coach have been allocated, RDC reserves
the right to alter that allocation in the event that a different
coach is supplied for that visit. When this arises priority will be
given to ensuring that passengers, boarding at the same pick up
point, who have booked to travel together are able to sit together.
The operation of all tours is subject to there being a minimum
number of bookings. RDC will not accept any liability above the
return of all monies paid in the event of any tour being cancelled
due to insufficient bookings, or any other reason beyond our control.
RDC reserves the right to materially alter reservations and
itineraries by reason of circumstance beyond RDC’s control.
RDC will make every effort to keep to published pick up times, however prevailing traffic and other conditions may cause late running.
The departure of coaches from pick up points, refreshment stops, destinations etc will not be delayed to wait for passengers who exceed or disregard the stated departure times. RDC will not be liable for any loss or damage caused by such occurence.
In the event of passengers not being carried for any reason, RDC will accept no liability beyond the cost of the ticket.
RDC will not be made liable for any loss, inconvenience or delay arising out of any cancellation or material alteration of a booking or resulting from the breakdown or failure of any vehicle or from circumstances beyond RDC's control.
The Driver will load luggage, it is the passengers responsibility to ensure that luggage is on board. RDC will accept no liability for loss or damage to personal items.
All UK and European Citizens must have a full 10 year passport before leaving the UK. Non EU passport holders may need Visas for certain countries. Client's should check with the appropriate Embassy or Consulate to ascertain Visa requirements and the time needed to obtain these. RDC cannot accept responsibility for any passenger who does not have the correct travel documents.
Passengers who have special needs or requirements must include these details when booking in the relevant section of the booking form. For example, should you prefer a particular room or have a dietary requirement, RDC wil be pleased to request this on your behalf, but RDC can make no further guarantee.
RDC welcomes passengers with special needs, but are aware that some of our visits may be more appropriate than others. Our booking staff will be happy to offer any advice and answer questions. Some tours involve a great deal of travelling or venues which are not best suited to those with mobility problems. In these cases our driver/courier may not be able to provide a sufficient level of care. Any passenger who has a disability should be accompanied by a companion who will provide the necessary levels of assistance. On all departures passengers must be able to negotiate the steps at the front of the coach. Passengers with mobility problems are advise to book very early as the front seats are soon booked.
We are pleased to carry folding wheelchairs in the luggage compartment. Please notify us at the time of booking if you intend to bring a wheelchair.
Battery powered wheelchairs and mobility vehicles: the safe working load that drivers can load and unload is 20Kg. For their safety, Drivers are not permitted to lift loads greater than this. Drivers are not qualified to dismantle and reassemble these vehicles. For the safety of customers, Drivers are not permitted to take any part in the dismantling or reassembling of these vehicles. RDC regrets that we are unable to carry battery powered vehicles which have not beed dismantled to parts each weighing less than 20Kg. Please notify us at the time of booking if you intend to bring this type of vehicle.
Details in this brochure are correct at the time of printing. RDC can accept no responsibility for changes made by venues after this date. Passengers travelling to attend a particular event should check details prior to the visit.
The Office does not issue tickets for customers who book on line. These customers should print their own tickets at the time of booking. For those passengers who book through Agents: if the Agent books on line, then they will print your ticket. If the booking is telephoned or faxed through to our office, then we will send your tickets by post.
RDC may only vary the price of a tour if there are changes in VAT or taxation legislation. The client will receive written notification of any such surcharges in advance of the tour.
The Driver will deal with any queries or problems during the tour. If the matter cannot be resolved at the time, your complaint should be made in writing within fourteen days of the conclusion of the tour.
The client's contract with RDC is subject exclusively to English Law and Jurisdiction.
Day Tour Booking Conditions
Payment in full will secure a place on any visit.
Within 28 days of departure, tickets cannot be exchanged nor can money be refunded. RDC will endeavour to resell returned tickets but the selling of our own unsold tickets will take priority. There will be a service charge of £5.00 per person for this service.
More than 28 days before departure tickets can be exchanged. There will be a service charge of £5.00 per person for this service. Where customers request changes to seating arrangements and/or pick up points there will be a service charge of £5.00 for these changes.
Day Visit Cancellation (DVC) must be paid for at the time of the initial booking. RDC must be advised of cancellation as early as possible and before the close of business the previous day. Refunds will be paid upon receipt of appointment cards, doctor's letters or relevant documentation.
Within seven days of the departure of any trip RDC may not be able to offer all pick up points previously advertised.
Holiday Booking Conditions
A deposit of £50.00 per person will secure a place on any holiday. Deposits paid are non-refundable and non-transferable except where arrangements are cancelled by Reynolds Diplomat Coaches (RDC). The balance of the holiday price is due and payable no later than 6 weeks before the date of departure. No reminders will be sent. If payment is not received by the due date, RDC reserves the right to treat the booking as cancelled by the client.
Child reductions may be available on some holidays. Contact RDC for further details. All children must be accompanied by a responsible adult.
Within three weeks of the date of departure RDC may not be able to offer all the pick up points previously advertised.
Every effort is made to ensure that accomodation is of an acceptable standard. When booking a room for twin occupancy please specify whether you require a double or twin beds. If no specification is made we will assume that either is acceptable.
Cancellation by the client will only be accepted by RDC if made in writing. The following cancellation charges will apply:

Holiday Insurance
It is a condition of booking that you are adequately insured for any of our holidays. Prior to departure we will request that you provide to us details of your insurers, your policy number and the emergency contact number stated on your policy.
From 1st January 2009, the sale of travel insurance connected to holiday or related travel is regulated by the Financial Services Authority. As we do not hold the necessary authorisation, we are no longer able to offer or advise on travel insurance related matters. Please contact us if you wish to receive details of our preferred Insurance Brokers.
In accordance with EC Directive 90/314/EC all passengers are fully protected for the initial deposit and subsequent balance of all monies paid to us, including the repatriation, if required, arising from the cancellation of their travel arrangements due to the insolvency of RDC.
